Manual policy changes

Overview

Policy changes in amplo can be processed either through carrier downloads or entered manually. While downloads are often the most efficient method, there are situations where a manual policy change is necessary to ensure accurate, timely, and complete policy records. Review the most common reasons for manual policy changes below:

Carrier does not support downloads

Not all carriers provide automated download functionality for every line of business or transaction type. If a carrier does not send policy change downloads, the update must be entered manually to keep the policy record current.

Download delays or failures

Sometimes carrier downloads are delayed, incomplete, or fail to process correctly. If a change has already been confirmed with the carrier, waiting for the download could cause reporting, billing, or servicing discrepancies. Entering the change manually ensures your system reflects the correct information immediately.

Corrections to existing data

If the original policy was entered incorrectly or if a prior download updated the policy inaccurately, a manual policy change allows you to correct the record and maintain data integrity.

Endorsements not fully reflected in downloads

Certain endorsements or coverage modifications may not map cleanly into amplo through automated downloads. In these cases, manual entry ensures that limits, deductibles, forms, or premium changes are accurately captured.

Internal servicing or documentation requirements

Some agencies require manual documentation for audit, compliance, or internal workflow purposes. Creating a manual policy change ensures there is a clear transaction history and supporting documentation tied directly to the policy record.

Client-requested updates pending carrier confirmation

If a client requests a change that must be documented internally before carrier processing is complete (for example, mortgagee updates or contact information changes), a manual policy change may be created to reflect the requested update while awaiting official confirmation.

Commercial Lines vs. Personal Lines policy changes

Policy changes look different in commercial lines and personal lines — and the impact can vary significantly. Understanding these differences helps your team process changes accurately, communicate clearly with clients, and reduce risk exposure.

Commercial Line (CL) policy changes

Commercial policies often involve multiple coverages, locations, classifications, and contractual obligations. A single change can affect several parts of the policy at once. Different types of policy changes include:

Personal Line (PL) policy changes

Personal policies are usually more standardized. Changes tend to affect one coverage area and are typically more automated. Different types of policy changes include:

Summary

Manual changes help you keep policy records current when downloads aren’t available, are delayed, or don’t fully capture the endorsement details. They also support clean corrections, stronger documentation, and a clear transaction history for audits and internal workflows.

When you do enter changes manually, choose the right workflow for the line of business:

  • Commercial lines: more moving parts, higher downstream impact, and more frequent need for detailed review.

  • Personal lines: more standardized updates that are typically faster and more automated.
