Vehicle schedule discrepancies on export

Overview

When working with vehicle schedules, you may notice differences between what appears in the user interface (UI) and what is shown in exported data or reports. This article explains why these discrepancies occur and how to ensure you’re viewing accurate and current schedule information.

How vehicle schedules work

Vehicle schedules are managed through a relationship model using the Policy Schedule Item Junction object. This object plays three key roles:

  • Associates multiple schedule items with a single policy

  • Allows a single schedule item to be linked with multiple policies when needed

  • Maintains a structured, auditable link between policies and their schedule items

This relationship ensures schedule data remains consistent, traceable, and compliant with audit requirements.

Why discrepancies occur

The UI displays only the current schedules actively linked to policies through the Policy Schedule Item Junction object. However, when exporting or querying data directly from the Schedule object, you may see additional or historical records.

The system retains all historical schedule entries for auditing and data integrity purposes, even when they are no longer attached to a policy.

How to get accurate schedule information

To make sure your report results match what you see in the UI:

  1. Navigate to the Reports tab.

  2. Click New Report.

  3. Click into the All category, search for Policies with Schedules, then click to open it.

  4. In the right-hand panel, click Start Report.

  5. In the left-hand panel, click Filters and apply the following settings:

    1. Show Me = All policies

    2. Add the Policy: Policy field, and provide the full name of the policy you're reporting on.

    3. Add the Policy Schedule Item Junction Count filter:

      1. Operator: is equal

      2. Value: 1

  6. Click on Outline, add desired fields from the Schedule object (such as Veh #, Year, Make, Model, and V.I.N).

  7. Click Save & Run to view accurate, active schedule data.

Considerations

When managing vehicle schedules, remember:

  • When a schedule is removed from a policy (via PCH), the Schedule record remains in the system, but its junction record is deleted.

  • The UI shows only active schedules currently linked to a policy.

  • Reports and data exports may include historical schedules unless properly filtered.

  • All historical schedule records are retained for audit and compliance purposes.

Troubleshooting

If you notice differences between UI data and exported results:

  • Confirm that your query or report includes the Policy Schedule Item Junction object.

  • Check whether the “missing” schedules were previously removed from the policy.

  • Ensure your filters are set to show only active policy links.
